Is AIGEN GDPR compliant?
AIGEN is designed with privacy and controlled call handling in mind. The pilot is set up around only the information your clinic needs to follow up with the caller.
Does it give medical advice?
No. It does not diagnose injuries, recommend treatment or give medical advice. It captures the enquiry and passes the details to your team.
What types of enquiries can it handle?
Appointment requests, opening hours, location questions, pricing enquiries, callback requests, rescheduling, cancellations and general clinic questions.
What happens if someone has an urgent issue?
The call flow can be set up to capture urgency and direct the caller according to your clinic’s instructions. It should not replace emergency or clinical judgement.
Can it help with appointment requests?
On the standalone plan, AIGEN captures the preferred appointment type and time for your team to confirm. On the PMS Connected plan, where a supported connection is available, it can check availability and manage up to five approved appointment types.
Will it work with our current phone number?
Yes. A simple setup is forwarding calls to the AI number when needed, such as after hours, during busy periods or when reception cannot answer.
What happens when the AI does not know the answer?
It can be configured to say it does not have that information, capture the caller’s details and pass the question to your team for follow-up.
What is included in the 14-day pilot?
Setup, tailoring, live call testing, call summaries, notifications, monitoring, adjustments and up to 300 AI call minutes across the two weeks. The pilot is standalone and does not require booking-system access.
Why are some AI receptionists cheaper than others?
Prices vary because AI receptionist systems are not all built the same way. Voice quality, speech-to-text, call-flow design, setup work, monitoring, integrations and support can all be very different. A cheaper tool may be fine for basic message-taking, but it may also mean more DIY setup, lighter support or less call optimisation.
Why not just choose the cheapest AI receptionist?
Price matters, but your phone is often the first contact a new patient has with your clinic. If the AI sounds robotic, misunderstands callers, fails to capture the right details or leaves your team with weak summaries, the cheaper package can do more harm than good. Cheap minutes only matter if the AI handles the call properly.

AIGEN is not just a login or a phone bot. We set up the call flow, use your approved clinic information, test realistic call scenarios, monitor early calls, improve the AI over time and keep you informed with useful updates.
Are we left to manage the AI ourselves?
No. AIGEN is managed for you. We handle setup, call-flow design, early-call monitoring, optimisation and practical updates, so your team gets the benefit of AI call backup without having to run the system themselves.
Do you provide updates or reporting?
Yes. AIGEN can keep you informed with call summaries, captured enquiry information, usage updates and improvements made to the call flow as real calls come in.
Is the 14-day pilot unlimited?
No. The free pilot includes up to 300 AI call minutes across the two weeks. If usage approaches that allowance, we contact you before any additional usage is incurred.
How is call usage charged after the pilot?
Call and AI usage are billed separately based on actual use. Combined usage is typically around €0.10–€0.20 per minute, depending on the provider, call route and voice configuration. We estimate likely monthly usage before launch and monitor it so there are no unexpected costs.
What is included in the PMS Connected package?
It covers one clinic, one supported PMS and up to five approved appointment types, including agreed availability checks, booking, rescheduling and cancellations. Deposits, WhatsApp workflows, recalls, multi-location rules and deeper custom integrations are scoped separately.
