Is AIGEN GDPR compliant?
AIGEN is designed to support GDPR-conscious handling of patient enquiries, with agreed data capture, approved access and privacy-aware workflows.
Does it give medical advice?
No. It does not diagnose or replace clinical judgement. It captures information and routes it to your team.
What types of enquiries can it handle?
Appointment requests, new patient enquiries, opening hours, cancellations, service questions, callback requests and common admin questions.
What happens if someone has an urgent issue?
The AI follows your agreed process and escalates urgent or red-flag concerns appropriately.
Can it help with appointment requests?
Yes. On the standalone plan it captures the preferred appointment type and time for reception to confirm. On the PMS Connected plan, where a supported connection is available, it can check availability and manage up to five approved appointment types.
Will it work with our current phone number?
Yes. Calls can usually be forwarded from your existing clinic number for missed, overflow or after-hours calls.
What happens when the AI doesn’t know the answer?
It does not guess. It captures the enquiry and sends it to your team for follow-up.
What’s included in the 14-day pilot?
Setup, tailoring, live call testing, call summaries, notifications, monitoring, adjustments during the pilot and up to 300 AI call minutes across the 14 days. The pilot is standalone and does not require PMS access.
Is the 14-day pilot unlimited?
No. The free 14-day pilot includes up to 300 AI call minutes across the two weeks. If call volume approaches that allowance, we will contact you before any additional usage is incurred.
How is call usage charged after the pilot?
Call and AI usage are billed separately based on actual use. Combined usage is typically around €0.10–€0.20 per minute, depending on the provider, call route and voice configuration. We estimate likely monthly usage before launch and monitor it so there are no unexpected costs.
How is AIGEN different from cheaper AI receptionist tools?
There are cheaper AI receptionist tools available, and some may suit basic message-taking. AIGEN is different because it is a managed service. We set up the call flow around your clinic, use your approved information, test it before launch, monitor early calls, refine the AI and keep you informed. You are not left to configure prompts, check every call or fix weak answers yourself.
Are we left to manage the AI ourselves?
No. AIGEN is managed for you. We handle setup, call-flow design, early-call monitoring, optimisation and practical updates, so your team gets the benefit of AI call backup without having to run the system themselves.
Do you provide reports or updates?
Yes. You receive call summaries and can be kept updated on what calls are being captured, how the AI is performing, usage levels and any improvements being made to the call flow.
Why not just choose the cheapest AI receptionist?
Price matters, but dental phones are too important to judge on price and minutes alone. The real question is whether the AI sounds professional, handles callers properly, captures the right details and gives your team useful summaries. Cheap minutes only matter if the call handling is good enough to trust.
What is included in the PMS Connected package?
It covers one dental clinic, one supported PMS and up to five approved appointment types, including agreed availability checks,
booking, rescheduling and cancellations. Deposits, WhatsApp workflows, recalls, multi-location rules and deeper custom integrations
are scoped separately.
